Privacy Policy

Introduction
Yenavi (“we,” “us,” or “our”) operates www.yenavi.com and the Yenavi application (the “Service”). This Privacy Policy explains what information we collect, how we use it, who we share it with, and your rights regarding your data.
Yenavi is a US-only service built for independent landlords and homeowners. We do not knowingly operate outside the United States.

What We Collect
We collect information you provide directly:
- Account information: your name (optional), email address, and password (stored as a one-way hash — we never store your plaintext password). If you sign up via Google, we receive your name and email from Google.
- Property data: addresses, property type, purchase price, current value, and notes you enter for each property.
- Documents: files you upload (HOA documents, inspection reports, insurance policies, tax documents, mortgage documents, invoices). These are stored securely in cloud storage.
- Maintenance records: work orders, vendor names, service dates, costs, and warranty information you log.
- Financial records: income and expense entries, amounts, categories, and descriptions you enter.
- Lease information: if you use the lease feature, the tenant name, lease dates, and rent amount you enter for your properties.
We also collect automatically:
- Usage data: server logs including IP addresses and request metadata, retained by our hosting provider for operational purposes.
How We Use Your Information
We use your information to:
- Provide, operate, and improve the Service
- Enable AI-powered features (document search, chat, summarization) on your uploaded documents
- Send transactional emails: email verification, password reset, and maintenance reminders you have enabled
- Respond to your support requests
We do not sell your data. We do not use your data for advertising.
AI Processing
Yenavi uses AI to help you search and ask questions about your uploaded documents. Text extracted from documents you upload (HOA rules, inspection reports, insurance policies, tax documents, mortgage documents, invoices), along with your chat messages, is shared with our AI providers to power document search, summarization, and the AI assistant.
Your financial records and maintenance records are used as structured context for the AI assistant, but are not sent to AI providers for embedding or long-term storage. Your password, payment information, and account credentials are never shared with any AI provider.
Third Parties We Share Data With
We use third-party service providers to operate Yenavi. Each receives only the data necessary for its function:

Data Retention
We retain your data for as long as your account is active. When you delete your account, all of your data is permanently deleted: your account record, all properties, documents, maintenance records, financial records, and uploaded files. This deletion is immediate and irreversible. See Account → Data & Privacy to delete your account.
Your Rights
You have the right to:
- Access your data: all your data is visible within the application.
- Delete your data:use Account → Data & Privacy → “Delete my account” to permanently remove all your data. This is immediate and cannot be undone.

Data Security
We use industry-standard security practices: encrypted connections (HTTPS/TLS) for all data in transit, encrypted storage at rest via our database and file storage providers, and hashed passwords. No security system is perfect — if you believe your account has been compromised, contact support@yenavi.com immediately.
Children’s Privacy
Yenavi is not directed at children under 13. We do not knowingly collect personal information from children.
Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by email or by a notice within the application. The effective date at the top of this page reflects when the current version took effect.
